eClaimLink for clinic owners in Dubai: how it works and who does what

eClaimLink is where a Dubai clinic's insurance money is approved or lost. This page is for the owner, not the coder: what the platform does, what happens to one insurance visit, who in your team should own each step and which numbers to look at every week.

What eClaimLink is

eClaimLink is the DHA-managed electronic platform through which Dubai healthcare providers and insurers (or their TPAs) exchange eligibility checks, prior authorisation requests, claims and remittance advice. Transactions pass through the DHA Health Post Office (DHPO). Health insurance is mandatory for residents in Dubai, so for most outpatient clinics that accept insurance this is a daily working tool, not an IT detail.

Abu Dhabi and the Northern Emirates use their own systems (for example Shafafiya under DOH in Abu Dhabi), so a clinic in several emirates needs people who know each of them.

The path of one insurance visit

Every rejected claim can be traced back to one of these steps. When an owner knows the order, it is easy to see where the money leaks.

Who in the team owns each step

In a small clinic one person may combine several steps; what matters is that each step has a named owner.

StepUsual ownerWhat the owner checks
Eligibility and network checkReceptionist or patient coordinatorDone for every insurance patient before the visit
Prior authorisationInsurance officerApproval in place before the service, approval number on file
Clinical documentationDoctorNotes support the diagnosis and the services billed
Coding and claim submissionMedical coder or insurance officerCodes match the notes and the approval, claims sent on time
Remittance and resubmissionInsurance officer or revenue cycle leadEvery rejection read, corrected or written off with a reason

Why claims get rejected

Most rejections come from preventable causes, and the same causes repeat. Look at rejection reasons, not just the total.

What the owner should see every week

You do not need to log in to eClaimLink yourself. Ask for a short weekly report, ideally from your CRM or billing system, with these lines.

Getting set up

Registration on eClaimLink is tied to the facility licence and is done through DHA; the exact steps, documents and any fees should be checked with DHA and your insurers for your case. Before the first insurance patient, make sure the following is in place.

How we help

TLNT is a hiring consultancy. We help clinic owners hire insurance officers, medical coders and revenue cycle leads with Dubai eClaimLink experience: we check their knowledge on real rejection cases and remittances in the interview and introduce candidates who meet the criteria agreed at the start. You make the hiring decision and agree the terms with the candidate directly; the specialist is employed directly by your clinic, and you sponsor the visa, we give you a step-by-step checklist. We can also set up CRM reports so you see rejections and receivables every week.

Our fee is fixed for each role and agreed before the search starts. A 10% prepayment of the fee starts the search, the rest is due once the person has started work. If it does not work out, we find a replacement free of charge; the period is set in the contract. Consulting and CRM projects are priced after a free review.

FAQ

What is eClaimLink in Dubai?

The DHA-managed electronic platform through which Dubai healthcare providers and insurers exchange eligibility checks, prior authorisations, claims and remittances, with transactions passing through the DHA Health Post Office (DHPO). A valid DHA facility licence is needed to register.

Who in a clinic should work in eClaimLink?

Usually an insurance officer handles prior authorisations, remittances and resubmissions, and a medical coder codes the visits and submits claims. Reception checks eligibility before the visit, doctors document the services, and the clinic manager reviews rejections and receivables every week. In a small clinic one person may combine the officer and coder roles.

Why are claims rejected in eClaimLink?

Most often because eligibility was not checked, prior authorisation was missing or did not match the service, codes were wrong or missing, documentation did not support the claim, or the price was outside the agreed list. Track rejections by reason and by doctor and fix the step where they start.
