The cost of not having an assistant a method you can calculate for yourself, not a statistic

The method: four lines on one page

Write four numbers for one typical month. Be conservative on every one of them; a conservative result that still says yes is more useful than an optimistic one you will not trust.

• Line 1, the value of your hour: what one hour of your work is worth when you spend it on revenue, patients, clients or the team, not on admin
• Line 2, admin hours per week: the hours you personally spend on tasks an assistant could do (calendar, bookings, emails that need no decision, renewals, chasing invoices, household logistics during working hours)
• Line 3, mistakes and late fees: fines, penalties, double payments, expired renewals, rebookings, missed appointments, averaged over a year and divided by twelve
• Line 4, lost deals from slow follow-up: enquiries that went cold because nobody answered quickly, multiplied by the margin of one average deal
• Monthly cost of not having an assistant = (line 1 x line 2 x 4.3, taken at half) + line 3 + line 4. The half is explained in the next section
• Then compare the result with the total monthly cost of an assistant from the anchors below. If the gap is small, a part-time or remote assistant may be the honest answer

Lines 1 and 2: your hour and your admin hours

These two lines carry most of the result, so they deserve the most honesty.

• Your hour: take your average monthly income from the business or practice and divide by the hours you actually work. For a doctor or a consultant the hourly fee is a simpler proxy; for an owner, the profit attributable to your own selling or managing time is the better one
• Admin hours: do not estimate. Track one normal week with a simple note on your phone: each time you book, chase, renew, reschedule or reply to something an assistant could handle, write the minutes. Most owners are surprised in both directions
• Take only half: an assistant does not give you back every hour. Some of the freed time goes to delegating, checking and resting. Counting half of the hours at full value is a fair, conservative rule
• Include the evening and weekend admin: if you spend Sunday evening on travel and school logistics, that is an hour of your life, even if it is not an hour of revenue. Decide how you want to value it; many owners value it higher, not lower
• Exclude what an assistant could not do: clinical decisions, signing, negotiating a key deal, confidential HR. Those hours stay with you whatever you hire

Lines 3 and 4: mistakes, late fees and lost deals

These are the costs that make owners decide, because each one has a date and a sum.

• Mistakes and late fees: go through the last twelve months of bank and card statements and list every fine, penalty, late renewal, duplicate payment, no-show fee and emergency rebooking at a higher price. Divide by twelve. In the UAE, licence, visa and vehicle renewals have real deadlines and real penalties; the exact amounts depend on the authority and the case
• Lost deals: count the enquiries from the last three months that got a first reply later than a day, or no reply, and estimate how many would have become clients had someone answered the same day. Be strict: one in four is a cautious assumption for most service businesses, but use your own history, not ours
• Multiply by the margin of one average deal or patient, not by revenue
• Add the costs you cannot put in a line but should write down: a team that waits for your answers, a partner or family that gets the leftovers of your attention, decisions postponed because the week was eaten by small things. They do not go in the formula, but they belong in the decision
• If lines 3 and 4 are near zero, say so honestly; some owners have an assistant for the hours alone, and that is a valid result

A worked example, clearly an example

The numbers below are invented to show the arithmetic. They are not market data, not an average client and not a forecast for your business. Replace every figure with your own.

• Example owner: a clinic owner who also treats patients, with an hour valued at AED 600 of margin when spent on patients or on the team
• Line 2: a tracked week shows 10 hours of admin: bookings, supplier emails, insurance follow-ups, school and travel logistics during working hours. Monthly: 10 x 4.3 = 43 hours. Taken at half: 21.5 hours x AED 600 = AED 12,900
• Line 3: over the last year, one late trade licence renewal, one expired vehicle registration, two no-show fees and one duplicate supplier payment that took weeks to recover, together about AED 9,000. Monthly: AED 750
• Line 4: three enquiries a month answered late, one in four would have converted, average margin per new patient over the first year AED 4,000. Monthly: 0.75 x 4,000 = AED 3,000
• Example total: 12,900 + 750 + 3,000 = about AED 16,650 per month of cost from not having an assistant, in this invented case
• Compare, market estimate: an administrative or personal assistant at 5,000 - 10,000 AED per month total package, or a hybrid multi-assistant at 10,000 - 18,000, plus visa, health insurance and gratuity provision paid by the employer. In this example the hybrid assistant pays for itself from the hours alone, and the part-time or remote option more than covers lines 3 and 4. Your numbers will differ; that is the point of doing them

Compare with what an assistant actually costs in Dubai

Use the full cost of the hire, not the basic salary, otherwise the comparison flatters the decision.

• Market estimate, AED per month, total package: administrative assistant 5,000 - 8,000, senior 8,000 - 11,000; personal assistant 5,000 - 10,000, senior 12,000 and above; executive assistant 12,000 - 20,000, EA to a C-level executive or a private family office 20,000 - 30,000; hybrid multi-assistant covering business, personal and household tasks 10,000 - 18,000, senior 18,000 - 25,000; virtual or remote assistant 3,500 - 8,000 part-time, up to about 14,000 for a senior full-time remote role (orientation)
• Add the employer costs on top of the package: visa and Emirates ID, health insurance, the gratuity provision, annual leave and equipment; our cost of hiring guide walks through them
• Add your own time for onboarding in the first month and for a weekly check-in afterwards; a realistic figure is a few hours a week at the start, one hour a week later
• Match the type to the lines: hours mostly on your private life and household point to a personal or hybrid assistant; hours on calendar, inbox and stakeholders to an executive assistant; a small gap or a budget constraint to a part-time remote assistant. • The decision rule: if your conservative monthly cost of not having an assistant is clearly above the full monthly cost of the right type, hire; if it is close, start remote or part-time and recalculate after three months; if it is below, you do not need one yet, and that is a good result too
