Assistant confidentiality, NDA and access what to agree before the first login

An assistant sees more of your life than most of your partners do: the inbox, the calendar, the bank, the family's schedule, the house. That is the point of the role, and it is also the risk. This guide lists the confidentiality and NDA clauses to discuss with a UAE lawyer, a simple access tier model for email, bank, documents and passwords, what to log, and an offboarding checklist. It is not legal advice: the wording of your contract and NDA should be agreed with a lawyer who knows UAE employment and data rules.

Clauses to discuss with a UAE lawyer

A confidentiality clause in the employment contract, or a separate NDA signed with it, is normal for an assistant role in Dubai. What it says and how enforceable each point is depends on the contract and on current UAE rules, so take this list to a lawyer rather than copying a template from the internet.

Access tiers: email, calendar, bank, documents, passwords

Decide access per system, not with one "trust" switch. Three tiers are enough for most owners. Start a new assistant at tier 1 and move systems up the ladder as described in our guide on what to delegate first.

SystemTier 1: see and prepareTier 2: act within a limitTier 3: own
Emaildelegate access to a work mailbox, drafts for your approvalsends routine replies, you see the sent folderruns the inbox, escalates by rule; your personal mailbox stays yours
Calendarview and proposebooks and moves meetings, private entries show as "busy"owns the calendar for business and agreed personal items
Bank and cardssees statements for reconciliation onlya prepaid or corporate card with a monthly limit and approved categoriesprepares payments, you approve each transfer in the bank app; no transfer rights without a written rule
Documentsa shared folder with the files for the current taskthe business or household archive, read and addmanages the archive and the renewal tracker; passports, title deeds and wills stay with you or the lawyer
Passwordsnone; delegate access or shared vault entries onlya password manager vault for the accounts the role needsmanages shared vault entries; your personal accounts, banking logins and recovery codes are never shared

Money: the one rule that prevents most problems

Most costly incidents with assistants are not theft. They are a transfer made in good faith on a fake instruction, a card used for a "small" item that grew, or a payee changed by email. One written rule covers all three.

What to log and review

Logging is not surveillance of the person. It is a record that protects both of you if something goes wrong and makes handover possible.

Offboarding checklist

People leave for normal reasons. If the access list above exists, offboarding takes an afternoon; if it does not, it takes weeks and some things are never found.

How we help

TLNT is a hiring consultancy. We help you define the assistant role with the access tiers written into the job description, find and assess candidates with a practical skills assessment that includes a confidentiality scenario (a supplier asks to change bank details, a journalist calls, a family member asks for a document), check references on discretion and prepare the offer. The contract and NDA wording is for your lawyer; we give you the list of points to raise. You make the hiring decision and agree the terms with the candidate yourself; the person is employed directly by your company, the employer sponsors the visa and we give you a step-by-step checklist.

Our fee is fixed for each role and agreed before the search starts. A 10% prepayment of the fee starts the search, the rest is due once the person has started work. If it does not work out, we find a replacement free of charge; the period is set in the contract. Consulting and CRM projects are priced after a free review.

FAQ

Should I sign an NDA with a personal assistant in Dubai?

A confidentiality clause in the employment contract, or a separate NDA signed with it, is normal for an assistant who sees your inbox, finances and family life. Agree the wording with a UAE lawyer: what is confidential, who may receive it, how long it applies after leaving, devices and social media, and the consequences of a breach. Treat the clause as a deterrent and pair it with access controls.

Should I give my assistant access to my bank account?

Not to your personal banking login. Give statement access for reconciliation, a prepaid or corporate card with a monthly limit and approved categories, and let the assistant prepare payments that you approve in the bank app yourself. Confirm any change of a supplier's bank details by phone to a number you already have, and never share recovery codes.

How much does it cost to hire through TLNT?

Our fee is fixed for each role and agreed before the search starts. A 10% prepayment of the fee starts the search, the rest is due once the person has started work. If it does not work out, we find a replacement free of charge; the period is set in the contract.
