Why trust decides more than skill

An executive or personal assistant sits inside someone's calendar, inbox, money and private life. The employer cannot check every action, so the relationship runs on a simple assumption: if something goes wrong, I will hear about it first and in time. Every mistake below breaks that assumption, and that is why a small slip can end a job that a big but honest error would have survived.

• Employers judge an assistant on a handful of signals: do I find out about problems from you or from someone else; do you ask when you are not sure; do things you confirmed actually happen; does what I tell you stay with you
• Skill gaps are fixed with a course or a month of practice. A trust gap is often not fixed at all, because the employer stops delegating and the role shrinks
• The same rule applies in a private household, a family office and a company: the person who holds your keys, your card and your schedule is judged first on reliability

The six mistakes that end an assistant's job

Each one looks small on the day it happens. The damage comes from what the employer learns about you.

• Silence about a problem: the hotel cancelled, the visa appointment moved, the courier lost the document, and the employer finds out at the airport or in the meeting. Bad news delivered early is a service; bad news discovered late is a betrayal
• Guessing instead of asking: you were not sure which flight, which client, which amount, and you picked one rather than ask a question that felt stupid. One wrong guess with money or a senior contact costs more than fifty questions
• Missed confirmations: the meeting was arranged but never confirmed with the other side; the driver was booked but not reminded; the restaurant table was in the calendar but not on the restaurant's list. In this job arranged means confirmed in writing and checked again the day before
• Sharing too much: the employer's schedule, home address, health, family matters or deal details told to a colleague, a friend, a vendor or a chat group, with no bad intent. Discretion is the product; a single leak ends it
• Money without a rule: paying for something, moving funds or using the card because it seemed obvious, with no agreed limit and no receipt. Even an honest expense without a rule looks like a risk to the employer
• Over-promising: saying it will be done today to look good, then missing it. Employers plan around your words; a realistic by Thursday is worth more than an optimistic today

How to recover after a mistake

Most assistants survive one serious mistake if the recovery is clean. What the employer watches is not the error but the next twenty minutes.

• Tell the employer yourself, first, and before it gets worse. One message: what happened, what it affects, what you are already doing about it, what you need from them. No long explanations, no blame on the airline or the vendor
• Bring the fix with the news: two alternative flights with times and prices, a new meeting slot already checked with the other side, a replacement supplier. A problem with options is a decision; a bare problem is a burden
• Say plainly what you will change so it does not repeat: I now confirm every booking in writing the day before. Then actually do it and let the employer see it for a few weeks
• Do not over-apologise and do not go quiet. A short, factual follow-up a day later shows the fix held
• If the mistake touched money or confidential information, write it down for the employer in a message or note, with amounts, dates and who was involved. A written record protects you as much as the employer
• If the trust is gone despite the recovery, do not argue your way back. Finish the handover professionally; a calm exit keeps a reference that your next role in Dubai will need

Daily habits that prevent the mistakes

Good assistants are not more careful by nature. They use a routine that removes the chance to slip.

• Every arrangement has three states: requested, confirmed in writing, re-confirmed the day before. Nothing goes into the employer's calendar as fixed before the second state
• A standing question list: anything you are unsure about goes into one message to the employer at a fixed time, so you ask without interrupting all day
• A short written rule for money agreed on day one: what you may pay without asking, the limit, which card, how receipts are stored, who sees the monthly list
• A one-line confidentiality rule for yourself: I do not share the employer's whereabouts, plans, health, family or money with anyone the employer has not named. When a vendor or colleague asks, the answer is I will ask and come back to you
• Realistic time estimates with a buffer, and an early warning the moment a deadline is at risk, not after it has passed
• An end-of-day message when the employer wants it: what was done, what is pending, what needs their decision tomorrow

For employers: how to set rules so this does not happen

Most of these mistakes are made in roles where nobody wrote the rules down. A page of rules in the first week prevents more than any interview question.

• Say how you want to hear bad news: immediately, by message, with options. Then thank the person the first time they do it, even if the news is unpleasant
• Make asking cheap: a fixed daily slot for questions and a clear statement that a question is always better than a guess
• Define confirmed: in writing, from the other side, re-checked the day before. Ask for that standard on every booking from day one
• Write the confidentiality boundary: who may know your schedule and address, what may be said to vendors, which chats are off limits. Sign an NDA and explain it in plain words
