AI chatbot for WhatsApp that answers like your best administrator

A salon or clinic often loses a client in the chat, not in the treatment room: the reply comes three hours later, the price is unclear, nobody writes again. An AI chatbot can answer in seconds, day and night, in the client's language. This guide explains how to build one that behaves like a good administrator, where it must stop and pass the client to a person, and how to check its work every week.

What a good bot does and what it must never do

A good bot is not a chat that talks about everything. It is an administrator with a narrow job: answer questions about your business, help the client choose, book, remind and call a person in time. It works only from your data: your prices, services, team and rules.

The narrow job is also what the platforms expect. Under Meta's terms for the WhatsApp Business Platform, general-purpose AI assistants offered as the main product are not allowed since 15 January 2026, while a business that uses AI to serve its own clients - questions, booking, support - remains a normal use. WhatsApp's business policy also requires that automated chats give the client a quick and clear way to reach a human.

The knowledge base: what the bot needs to know

The bot is as good as the knowledge base behind it. In practice it is a structured table or document that one person on your team owns. Build it from the price list, the booking system and, most of all, from real chats of your best administrator: they show how clients actually ask and which answers lead to a booking.

Put a date next to every price. When prices or the team change, the knowledge base changes the same day, otherwise the bot will confidently quote last season's offer.

Bot alone or bot plus human

Handover is not a failure of the bot. It is the moment where a person adds value, so write the triggers down before launch: the client asks for a person or repeats a question; any medical question; a complaint, a refund or an unhappy tone; a request outside the rules; a large order; anything the knowledge base does not cover.

The handover must be visible. The bot tells the client that a manager will reply and when, the manager gets a notification with a short summary, and nobody asks the client the same questions again. Decide who covers evenings and weekends: a bot that hands over at 23:00 to nobody is worse than no bot. On Instagram, replies are possible within 24 hours of the client's last message; Meta's human agent tag lets a person reply later, up to 7 days, but not with promotions.

Connection to CRM and booking

Without a CRM the bot answers, but the business learns nothing. With a CRM every conversation becomes a contact and a deal you can count and follow up. Both amoCRM (Kommo) and Zoho CRM can work with WhatsApp, Instagram and Telegram through native or partner integrations; the choice depends on your process more than on the bot.

Collect only the data you need for the booking. A bot should not ask for medical history, Emirates ID or card details in chat. In the UAE personal data is protected by Federal Decree-Law No. 45 of 2021, and health information has its own stricter rules, so agree with your lawyer what the bot may collect and keep, and check where your provider stores conversations. Meta's terms also restrict using WhatsApp data to train AI models, so ask your provider how it handles your chats.

Test before launch, then check every week

Before the bot talks to real clients, run it through a list of 40-60 test dialogues written by your administrators. Include the ten most common price questions, the same question in English, Russian and Arabic, typos and one-word messages, a voice note, a medical question, a complaint, a demand for a discount, a request for a master who is on leave, a booking at night, a service you do not offer, and an attempt to make the bot break its rules. The bot passes when it gives no wrong price and no medical advice, and hands over in every case where it should.

After launch, read 20-30 random dialogues every week and track a few numbers. There is no universal norm for them: compare week to week and read the dialogues behind every change.

Can I use an AI chatbot on WhatsApp Business in 2026?

Yes, for your own clients. Since 15 January 2026 Meta's terms for the WhatsApp Business Platform do not allow general-purpose AI assistants as the main product, but a business that uses AI to answer its clients, book and support them is a normal use. The bot must give clients a clear way to reach a person, and outside the 24-hour window it can only send approved templates to clients who agreed.

Can an AI chatbot replace a salon or clinic administrator?

It can take over the repeated questions: prices, hours, address, booking and reminders, at any time of day. It should not replace a person for medical questions, complaints, discounts and non-standard requests. In practice the bot answers first, and the administrator handles fewer but harder conversations.
