Assistant skills checklist a self-assessment by block, with how to practise each one

Most assistants are good at the parts of the job they have done a lot and quietly weak at the parts they have never been asked to do. A checklist fixes that: you see the whole profession at once, mark honestly where you stand and know what to practise before the next interview or the next review with your principal. This article from our School of assistants series covers six blocks: calendar and travel, inbox and messaging, documents and payments routine, confidentiality, communication, and AI tools. For each line ask yourself: can I do this today without help, and can I prove it with an example. Employers can use the same list to shape a practical skills assessment.

Block 1: calendar and travel

The visible core of the job. Employers judge it first because mistakes here are immediate: a missed flight, a double-booked meeting, a principal in the wrong place.

Block 2: inbox and messaging

Email, WhatsApp and Telegram are where the principal's time disappears. A good assistant filters, drafts and follows up so the principal reads only what needs them.

Block 3: documents and payments routine

Not accounting, but the routine around money and paperwork: invoices, receipts, contracts, renewals, simple reports. This block separates a junior from a senior assistant.

Block 4: confidentiality

The block that decides trust. It cannot be learned from a course, but it can be made into habits and shown in references.

Block 5: communication and judgement

Tone, timing and the courage to say no on someone else's behalf. This is what separates an assistant from a messenger.

Block 6: AI tools and digital routine

AI assistants and automation are now part of the job. Used well they save hours; used carelessly they leak data or send a wrong draft. Employers increasingly ask about this block.

How we help

TLNT is a hiring consultancy. For employers we turn a checklist like this into a practical skills assessment for the specific role and run it with candidates before you meet the shortlist; you make the hiring decision and agree the terms with the candidate yourself, the person is employed directly by your company, the employer sponsors the visa and we give you a step-by-step checklist.

For candidates: send your CV through our candidates page or build one in the free CV builder; we let you know when an employer has a matching vacancy. Candidates never pay us.

Our fee is fixed for each role and agreed before the search starts. A 10% prepayment of the fee starts the search, the rest is due once the person has started work. If it does not work out, we find a replacement free of charge; the period is set in the contract. Consulting and CRM projects are priced after a free review.

FAQ

What skills does an assistant need in Dubai?

Six blocks: calendar and travel, inbox and messaging, documents and payments routine, confidentiality, communication and judgement, and AI and digital tools. Business-level English is the base for all of them; Arabic or Russian is often requested on top. Employers test the first two blocks and confidentiality most often in a practical assessment.

How can I improve my skills as an assistant without a course?

Practise on real material: triage your own inbox daily in three groups, build itinerary and summary templates, run a renewals list with 60-day reminders, write refusals in different registers and automate one routine task a month. Keep examples of each so you can show them in an interview.

How much does it cost to hire through TLNT?

Our fee is fixed for each role and agreed before the search starts. A 10% prepayment of the fee starts the search, the rest is due once the person has started work. If it does not work out, we find a replacement free of charge; the period is set in the contract.
