Assistant boundaries and burnout how to agree working hours and emergency rules, say no professionally, notice burnout early and raise it with the boss

The most common fear of people who could become assistants is not the workload, it is the loss of themselves: "the boss will call at night", "I will be available forever", "I will become a servant". The fear is reasonable because it happens, and it happens for one reason: boundaries were never agreed, so they were set by whoever pushed harder. This article from our School of assistants series is about setting them like a professional: how to agree working hours and emergency rules at the offer stage, how to say no on your own behalf and on your principal's, which signs of burnout to take seriously, how to raise it with the boss in a way that gets a result, and when leaving is the right decision. Boundaries are not the opposite of service; they are what makes service last for years.

Boundaries are part of the job, not a threat to it

An assistant with no boundaries is not a better assistant; they are a tired one who will leave in a year, and the principal will start again. Good employers know this. The ones who do not can usually be shown it, because the argument is in their interest.

How to agree working hours and emergency rules

The best moment is before you accept the offer; the second best is the first week; the third is now. Ask as a professional who wants to serve well, not as someone negotiating a favour.

How to say no professionally: scripts

An assistant says no many times a day on the principal's behalf and sometimes on their own. The form is the same: acknowledge, decline, offer an alternative, keep the relationship.

Warning signs of burnout to take seriously

Burnout in this job rarely arrives as a collapse. It arrives as a slow change in how you work and feel. Catch it early, when it is still a conversation, not a resignation.

How to raise it with the boss

Principals are usually not aware of the load because the assistant's job is to make the load invisible. Raise it as an operational problem with a proposed solution, not as a complaint.

When to leave, and how to leave well

Most boundary problems are solved by a conversation. Some are not, and staying in a role that is damaging you is not loyalty. Decide calmly and leave professionally; your references are your career.

How we help

TLNT is a hiring consultancy. For employers we help write the rules of the role before the search: hours, emergency list, channels, scope of personal tasks and how travel time is handled, so the person who joins can stay for years rather than months; then we search for candidates, assess them on real tasks and introduce the ones who meet the agreed criteria. You make the hiring decision and agree the terms with the candidate yourself; the person is employed directly by your company, the employer sponsors the visa and we give you a step-by-step checklist.

For candidates: send your CV through our candidates page or build one in the free CV builder; we let you know when an employer has a matching vacancy. Candidates never pay us.

Our fee is fixed for each role and agreed before the search starts. A 10% prepayment of the fee starts the search, the rest is due once the person has started work. If it does not work out, we find a replacement free of charge; the period is set in the contract. Consulting and CRM projects are priced after a free review.

FAQ

How do I set boundaries as a personal or executive assistant without looking difficult?

Agree them as a professional who wants to serve well: ask about the real weekly rhythm at the offer stage, define an emergency list together, agree one channel for urgent calls and one for next-day messages, and write the summary in an email. Say no with an alternative and a time, never with an excuse. Candidates who ask calm questions about hours are usually read as experienced, not difficult.

What are the signs of burnout in an assistant and what should I do?

Checking the phone compulsively on days off, multiplying small mistakes, only reacting instead of improving, irritation at ordinary requests, lost sleep and no real leave for a long time. Two or three of these for several weeks mean it is time to act: collect two weeks of facts about hours and extra tasks, ask the principal for a short review, propose concrete changes and agree a date to check them. If nothing changes after two honest conversations, start planning a professional exit.

How much does it cost to hire through TLNT?

Our fee is fixed for each role and agreed before the search starts. A 10% prepayment of the fee starts the search, the rest is due once the person has started work. If it does not work out, we find a replacement free of charge; the period is set in the contract.
